Intern, Production Coordination

Job description

About Gogoprint

Gogoprint is a regional online printing company serving businesses across Malaysia, Singapore and Thailand. We handle the full journey from order to doorstep: business cards, booklets, stickers, large format banners and promotional items, produced through our network of print partners and our own in-house team.

Our Malaysia Operations team keeps that engine running every day. It is a small, hands on team where interns do real work and own real outcomes.

Role overview

As our Production Coordinator Intern, you will run the daily flow of print jobs from order to finished product for around four months. You will step into a live coordination role: sending jobs to print partners, keeping production on schedule, and helping resolve customer complaints alongside the Operations Team Lead.

This is not a shadowing internship. After a structured handover in your first weeks, you will own key tasks yourself, with guidance and backup from the team. You will report directly to the Operations Team Lead and work closely with our production, warehouse and logistics colleagues.

What you will learn

You will leave with practical, hands on experience of how a regional ecommerce supply chain actually runs.

  • How print production works across offset, digital, large format and promotional products, from file to finished item.

  • Production planning in practice: SLAs, job prioritisation and capacity trade offs under real deadlines.

  • Supplier management with external print partners and 3PL providers across three countries.

  • Structured problem solving through complaint investigation and root cause analysis.

  • Direct mentorship from the Operations Team Lead, plus an internship completion letter and reference on successful completion.

Key responsibilities

Your core focus is production coordination: getting the right jobs to the right printers, on time, every day.

Production job dispatch

  • Prepare and send print jobs to our trade printer partners, checking files, specifications, quantities and due dates before release.

  • Build manual gang imposition layouts for offset jobs, grouping compatible orders onto shared press sheets to reduce cost and turnaround time. Full training on our imposition software is provided.

  • Back up job sending across our other production streams: same day orders, custom jobs, offset booklets, single jobs, and promotional items for Malaysia, Singapore, Thailand and large format.

  • Check that automated job sends have gone through correctly, and resolve any that fail or need manual handling.

Production SLA and job priority

  • Monitor production progress against our service level agreements (SLAs) every day and flag jobs at risk of delay early.

  • Prioritise and resequence jobs based on due dates and urgent or same day orders.

  • Follow up with print partners on job status and escalate issues to the Operations Team Lead when needed.

Supplier coordination

  • Manage top ups of prepaid supplier accounts so that jobs are never held up by an empty balance.

  • Build good day to day working relationships with our print partners.

Complaint handling (shared with the Operations Team Lead)

  • Investigate customer complaints about production quality, delivery by our third party logistics (3PL) partners, and in house process errors.

  • Gather the facts, such as photos, job files and tracking history, and recommend a resolution for approval.

  • Coordinate agreed fixes with partners and internal teams, and follow through until the customer's issue is closed.

  • Log each case and its root cause so the team can prevent repeats.

Other

  • Keep job trackers and records accurate and up to date.

  • Support other operational tasks as assigned by the Operations Team Lead.

Job requirements

Requirements

We are looking for an organised, detail focused student who stays calm when deadlines are tight.

Must have

  • Currently pursuing a Diploma or Bachelor's Degree, preferably in Logistics and Supply Chain Management. Operations Management, Business Administration, Industrial Engineering or related fields are also welcome.

  • Available full time for the whole internship period, including the handover weeks at the start.

  • Comfortable working with Microsoft Excel or Google Sheets.

  • Strong attention to detail: a wrong quantity or specification means a costly reprint.

  • Good written and spoken communication in English and Bahasa Malaysia.

  • Able to juggle several time sensitive tasks and follow up persistently.
